Target Audience

Operators of refugee shelters, communal accommodations, and social housing facilities with 100–1,000+ residents. The target audience includes facility managers, social services, and administrative staff who need a simple, GDPR-compliant solution for attendance documentation – especially for government reporting, billing, and emergency situations.

The Challenge

  • Manual lists led to illegible entries and privacy issues – sensitive data was openly accessible.

  • During official inquiries (e.g., police at night), it was unclear whether residents were on the premises or off-site.

  • Billing with authorities required precise attendance records – paper-based systems were insufficient.

  • No real-time overview of current occupancy and resident attendance.

  • High administrative burden through manual data collection and analysis.

When police came at night asking about a resident, we had to search through paper lists – often without a quick answer.

The Story

The refugee shelter cares for over 300 residents and faced the challenge of documenting attendance in a GDPR-compliant and efficient manner. Especially in emergency situations – such as official inquiries at night – quick information was required.

The facility implemented LiteLog with an NFC scanner at the entrance. Each resident received a personalized NFC chip that they scan when entering and leaving the premises. Data is encrypted and captured in real-time and is only accessible to authorized personnel.

Georg, the facility contact person, uses the system for various purposes: real-time overview of attendance, automated billing reports for authorities, and quick information during official inquiries. Residents accept the system because it's easy to use and protects their privacy.

With LiteLog, we can tell within seconds whether a resident is on the premises during official inquiries. This creates security for everyone involved.

The Results

  • Real-time attendance overview: Immediate information about whether residents are on premises or off-site.

  • 70% less administrative work: Automated reports for official billing replace manual lists.

  • GDPR-compliant: Encrypted data capture and role-based access rights protect sensitive data.

  • Faster emergency response: Immediate information can be provided during official inquiries.

  • Higher acceptance: Simple operation and data protection lead to high acceptance among residents.

The Experience

LiteLog has revolutionized our attendance tracking. Previously we had paper lists that were problematic for data protection and impractical for inquiries. Now we have a system that's GDPR-compliant, easy to use, and extremely reliable. Especially in emergency situations – when police come at night asking about a resident – we can provide immediate information. The automated reports for authorities save us hours of work. Residents have no problem using the system, and we finally have the transparency we need. For any facility with high resident numbers, LiteLog is an enormous relief.
