LiteLog Time Tracking in Building Cleaning

Just scan. The app shows the rest.

In building cleaning, recording working time is mandatory. With LiteLog, cleaning staff check in and out on site with their smartphone, by QR code or NFC. The time is booked to the right site and stays audit-proof for payroll, customs inspections and clients.

Time tracking & proof of service on site

Cleaning staff start and end their assignment directly on site via QR code or NFC — times, breaks and delivered services appear live in the portal. Per contract you define the agreed service levels, and LiteLog generates the proof of service for billing and clients from them.

  • ✓Assignment start via QR/NFC without special hardware
  • ✓Punctuality status and target-vs-actual per shift
  • ✓Automatic proof of service as audit-proof PDF/A

Mobile time tracking for building cleaning

Cleaning teams work spread across many sites — a time clock at headquarters captures none of it. Staff therefore clock in with their own smartphone directly on location, LiteLog assigns the time to the right site, and operations sees live which site is currently staffed — no phone calls, no paper.

  • ✓Clock in on site via smartphone — times land on the right contract automatically
  • ✓Optional GPS location proof per clock-in
  • ✓Works offline, e.g. in basements and underground car parks — syncs automatically

Time tracking in building cleaning: legal obligations

In Germany, building cleaning is one of the sectors listed in Section 2a of the Undeclared Work Act — under Section 17 of the Minimum Wage Act, employers must therefore record start, end and duration of daily working time, within seven days, retained for two years. Customs inspections without records can trigger fines of up to €30,000.

  • ✓Building cleaning is explicitly a record-keeping sector (Section 2a Undeclared Work Act)
  • ✓Start, end, duration per working day — 7-day deadline, 2-year retention (Section 17 MiLoG)
  • ✓The ECJ (2019) and the Federal Labour Court (2022) additionally require a system that records all working time systematically
  • ✓LiteLog fulfils the obligation automatically: every clock-in logged audit-proof

Electronic time tracking: QR scan on site instead of a time clock

Electronic time tracking in building cleaning needs no fixed hardware: a laminated QR code or an NFC tag at the site entrance is enough — staff scan when arriving and leaving, and the system logs time, person and site tamper-proof. Compared to paper timesheets and spreadsheets, there is no late entry, no calculation error and no suspicion of manipulation — and the payroll export is one click.

  • ✓Print-your-own QR codes or NFC tags — no time clock, no maintenance
  • ✓Every clock-in logged audit-proof with timestamp, person and site
  • ✓Monthly export as Excel or PDF for payroll and clients

More than time tracking: prove the work on site

Typical time tracking shows when. LiteLog shows where, how long and what. With the same NFC points and QR codes, your cleaning staff tick off tasks from the service schedule, and your client sees the records in their own access.

  • ✓Scan on site: A printed QR code is enough to get started. Nobody can photograph an NFC chip: whoever scans it was really standing in front of it.
  • ✓Minimum duration per visit: You set how long a visit lasts at least. If someone spends less time on site, the site manager gets a message.
  • ✓Marked property area: You mark the property on the map. That way you see which times were recorded on site and which outside it.
  • ✓Tasks and photos: Completed tasks and photos show what was done on site.

FAQ

Häufige Fragen zu LiteLog

Yes, in Germany. Building cleaning is one of the sectors listed in Section 2a of the Undeclared Work Act, so Section 17 of the Minimum Wage Act applies: employers must record start, end and duration of daily working time for all employees — within seven days, retained for two years. In addition, the ECJ (2019) and the Federal Labour Court (2022) require systematic recording of all working time. Customs inspections without records can trigger fines of up to €30,000.

Cleaning staff clock in with their own smartphone directly on site — by scanning a QR code or NFC tag at the entrance. The time is assigned to the right site and contract automatically, with optional GPS location proof. Recording also works offline, e.g. in basements or underground car parks; data syncs automatically. Operations sees live in the portal which site is currently staffed.

A time clock is installed at one fixed location — useless for cleaning teams that visit several sites a day. Electronic time tracking via app only needs a QR code or NFC tag at each site: no hardware purchase, no maintenance, and every clock-in is logged audit-proof with time, person and site. The payroll export takes one click instead of retyping.

Each cleaning site gets its own QR code. On scan, the app additionally verifies the position via GPS — clocking in is only possible on site. In practice (e.g. Saniteq across 50+ Sanifair locations) this fully prevents site mix-ups and false clock-ins.

Yes. All work hours are available in a structured, exportable form and flow into payroll without manual post-processing — in production use this saves up to 60% of billing effort.
