From report to task

A water stain on the ceiling, a loose railing: things like these get spotted on the go – and get lost on the go if they stay a shouted request. In LiteLog, they become a report in seconds: take a photo or speak a short note, right at the site. AI categorization suggests category and urgency – you can override both at any time. From the report, the site manager creates a task with an owner and a due date, assigned to Toni the caretaker, for example.

The team chat leads to a task as well: when Marek writes "lamp on the third floor broken" in the employee chat, Sabine as site manager turns it into a task with one click – with location, photo and owner. And forms can act on their own: if a visual inspection stays below the defined score threshold, the workflow template automatically opens a report and creates the task "re-cleaning". Tickets from the customer portal become tasks too – no defect slips past your team anymore.

Series, checklists and the right place

The filter change every three months, the weekly staircase inspection at Wohnpark Lindenhof: recurring work is set up as a series – ending on a date or after a number of occurrences. Each occurrence is its own task with its own completion and its own proof. Checklists break larger tasks into checkable sub-steps, and multi-assignment distributes one task to several staff members at once. Whether a photo is mandatory on completion is configured per task. And because basements and underground garages often have no signal: completing works offline too – LiteLog syncs status and photo automatically as soon as the connection is back. Due, overdue – then what?

A task with a due date speaks for itself: when it becomes due, LiteLog fires the event "task due"; when the deadline passes, "task overdue" follows. On both events you build if-then rules in the automation – for example a push notification to the owner when a task is due, and a notification to the site manager if nothing happens. No defect slips through silently anymore: a task left sitting leaves a documented trail instead of a forgotten note in the hallway.

Two views: list and coverage

LiteLog keeps task management deliberately lean – two views are enough. The list shows all tasks with status, due date, owner and site – filterable, for example by the Bürogebäude Westend office building or by overdue tasks. Coverage answers the question behind it: is the site being checked as often as planned? You set a daily scan target, and coverage shows day by day how many scans actually stand against it. In addition, the "Completed (30d)" rate measures what share of tasks was completed in the last 30 days – an honest number for you and your client.
